JOB DESCRIPTION:
1/ Conceptualize, plan, organize and execute major company local events including rallies, seminars and recognition events at big size of scale from 5,000 up to 10,000 participants
Coordinate externally and internally for event schedule arrangement in 3-6 months ahead
Consult with event owner to set event strategy, schedule, budget and risk management plan
Event management: create innovative event concept; develop communication plan in Pre-event, Event & Post-event; budget control; event timeline control; assure an optimal guest experience during the event, managing all situations that develop
Running other internal events
2/ Lead and organize major company overseas rewarding trips for distributors/customers
Coordinate externally and internally for logistic arrangement including attendee tracking, daily itinerary following up, event running & material support
Leading and overseeing the suppliers/vendors to ensure that performance and executions run smoothly
Complete operational tasks as assigned by Special Event Manager
3/ Build and maintain rapport with both internal and external customers
Constantly contact and keep relationship with service institutions such as hotels, restaurants, travel agencies … to receive latest update on products, services, promotions for current and future uses.
Constantly communicate with related departments to keep them up-to-date with company’s events (Materials, internal communication for staff)
4/ Documentation of events
Produce accurate and timely weekly/ monthly report regarding event’s organization
Keep clear and systemized records of expenditure.
Maintain accurate costing sheets.
Maintain and manage event asset
JOB REQUIREMENTS:
Bachelor's Degree with 5-8 years working experience in M.I.C.E, event organizing, travel arrangement and project management
Strong experience of managing and organizing oversea trips
Creative in proposing new ideas for events, budget controlling
Good time management & customer service skills.
Good communication skills in both spoken and written forms, both English and Vietnamese.
Well-organized and detail-oriented, able to work under high pressure
